Job description

Overview of job

The Global Shared Service (GSS) Project Manager’s role is to manage the shared service team in Vietnam to provide shared services to Harvey Nash executive search & recruitment offices worldwide, including candidate searching, timesheet and contract management at the highest level of efficiency.

- Presales

· Support sales team in meeting potential clients to present company profile, services, capabilities and experience

· Receive & anylize client requirements, estimate efforts and resources to run the project

· Make proposals including solutions, processes, budget, pricing, etc.

· Support sales team to present solutions/proposals to clients and provide required supports to close sales

- Project management:

+ Project Initiating

· Set up, operate and manage multiple projects/services for different clients under Harvey Nash Group

· Work with Clients to agree on the project’s objectives, processes, KPIs, SLA, targets, etc. and obtain client acceptance before going live

· Coordinate with HR, IT and supporting teams in setting up new projects, including recruitment, training, facilities set up

+ Project Planning

· Make project plan, including budget, process design, production plan, quality control, delivery schedule, communication channels for each new project

· Set up monthly production, define KPIs and quality plan

· Forecast peak and trough, discuss and coordinate with clients on project ramp up and ramp down depending on workload

+ Project Executing

· Attend technical/product trainings provided by clients to re-train team members

· Meet/ conduct teleconference with Clients to detail the project activities, work schedule, project updates, performance issues, etc.

· Support Team Leaders in daily operation. Ensure the team’s performance is in line with the plan and delivery schedule.

· Discuss with Client when work volume is not enough or too moch Immediately request extra works from Clients if the work volume is not enough for the team.

· Allocate relevant resources during peak and trough. In case cannot allocate staff within projects, report to management for support to get extra resources from, or assign idle staff to other projects

· Help the team decipher technical skills in the requirements that HvN global offices send to Vietnam team.

· Connect the dots, read between the lines in the Requirements or the Resumes and explain the big picture to the “CV Searching” team.

· Co-ordinate with Client, IT, HR and Administration Departments to ensure smooth operation of the team.

+ Project Monitoring

· Monitor team performance, productivity and quality through project reportings, including on-going and periodically reports of team and individuals.

· Track performance vs KPI/SLA. In case of failing KPI/SLA, analyze project’s reports to define performance issues for project improvement

· Submit and present periodically reports to Clients & management. Discuss project issues and propose solutions for improvement

+ Project Closing/Delivering

· Ensure on time and on budget delivery

· Perform completion review

- People Management

· Organize activities to encourage the sense of team work.

· Follow up, keep track and approve Staff’s annual leave.

· Design, propose and execute performance incentive program

· Prepare monthly payroll for team members

· Regularly evaluate staff’s performance to define appropriate actions, including staff development, promotion opportunity, rewarding, employment confirmation… for good performers or re-training and or disciplinary for poor performers.

- Other

· Other tasks assigned by the Company’s Management.

Job Requirement

  • University Degree, preferred IT background
  • 3-5 year experience in project management, preferable outsourcing industry, IT field or technical recruitment 
  • Good knowledge about broad  range exposure within IT (Developer, Project Manager (PM), Architect, Network, Operations…)
